Flight & Expense Policy

Your return-flight ticket fare should not exceed the maximum limit in the table provided.

In line with the global communication on managing our costs, certain low-cost airlines for each location need to be used for travel to the event, any exceptions must be approved.

1. Low Cost airlines must be used – any exceptions must be approved by manager
2. Flights should be booked well in advance
3. Your accommodation and breakfast will be covered for:
   • SU Heads and RBC Leaders – 3 nights’ accommodation – Check in: Monday 2 February and Check out: Thursday 5 February.
   • CT Heads and NI Sales – 2 nights’ accommodation – Check in: Tuesday 2 February and Check out: Thursday 5 February. If additional nights are required due to flight arrival/departure, approval from a manager is needed. Please select additional dates during the registration process. Any extension for personal stay’s will need to be paid direct to the hotel with a personal credit card
4. Transfer to and from the Hotel will be via supplied shuttle service provided you are travelling on the main conference days and have provided your flight information.

This is a blanket approval and you can skip the step of obtaining an approval from your SU CFO Head.

You only need to get an approval from your SU CFO Head if you exceed the maximum limit provided.

Visas

All visitors must hold a passport valid for at least 6 months.

An e-Visa is valid for a maximum of 90 days and must be applied for before arrival in Bali. An e-Visa fee is 25USD for single entry.

Apply for a Tourist visa, a business visa is not required for this event.

Some nationalities are not required to attain an e-visa. More information here.

You can apply up to 1 year before arrival.

Arrivals Card

All international arrivals in Bali must complete the “All Indonesia Arrival Card” online through the official website, allindonesia.imigrasi.go.id, within 72 hours of arrival. This single digital form replaces previous paper customs and health declarations and requires personal, travel, and customs information. After submission, you will receive a QR code via email which must be presented to officers upon arrival alongside your passport.
